Our guidelines

ASTRAVA SERVICE POLICIES

Astrava is committed to delivering premium, reliable services. To ensure fairness, transparency, and protection for both clients and Astrava, the following policies apply to all Virtual Assistance, Website Design, Digital Marketing, and Graphic Design Services. These rules are binding, equal, and designed to protect both parties.


GENERAL PRINCIPLES

  • All agreements must be documented in writing (email, signed proposal, or contract). Verbal agreements are not binding.
  • Both Astrava and the client must act in good faith, provide accurate information, and communicate clearly and promptly.
  • Services are delivered only within the agreed scope. Any expansion requires a new written agreement and may incur additional charges.
  • Payments confirm acceptance of these policies.

SERVICE REPLACEMENT

  • If a deliverable does not meet the agreed scope or quality standards, Astrava will redo or replace the service at no additional cost.
  • Replacement applies only to the original agreed scope of work.
  • Replacement is limited to one round per deliverable unless otherwise agreed in writing.
  • Replacement does not apply if:
    • The service was completed according to scope but later deemed unnecessary by the client.
    • The client failed to provide required information, approvals, or feedback within agreed timelines.


REFUNDS

  • Refunds are considered only if Astrava fails to deliver the agreed service within the specified timeframe.
  • Partial refunds may apply if only a portion of the service was completed.
  • Refund requests must be submitted in writing within 10 calendar days of the issue.
  • Refunds are processed only to the original payment method within 30 days of approval.


                  Refunds are not available for:

  • Services completed according to scope.
  • Client‑initiated cancellations after work has begun.
  • Services involving third‑party platforms (ads, email campaigns, social media posts) once executed.
  • Situations where the client changes business direction, strategy, or no longer requires the service after commencement.

                  Astrava’s determination on refund eligibility is final and binding.


WEBSITE DESIGN SERVICES

  • Initial Payment Window: Clients may request a refund within 10 calendar days of payment if they decide not to proceed.
  • No Refunds After Start: Once the project has begun, refunds are not available.
  • Migration: Astrava is not responsible for compatibility issues or losses if a client migrates their website to another provider during the subscription term.
  • Renewal Period: Clients may request cancellation and refund within 14 calendar days of renewal. Beyond this, no refunds are issued.
  • Maintenance: Covers essential fixes, updates, and performance management only. Advanced development or new features require a separate agreement.


DIGITAL MARKETING SERVICES

  • Campaign Execution: Once a campaign has launched (ads, emails, social posts), refunds are not available.
  • Third‑Party Costs: Astrava is not responsible for charges from advertising platforms, email providers, or social networks. These costs are non‑refundable once incurred.
  • Performance Disclaimer: Astrava guarantees execution according to scope but does not guarantee specific outcomes (sales, leads, engagement metrics).
  • Client Responsibility: Clients must provide accurate information, approvals, and timely feedback. Failure to do so voids refund or replacement eligibility.


GRAPHIC DESIGN SERVICES

  • Creative Approval Window: Clients have 7 calendar days after delivery to request revisions within scope. Beyond this, revisions may incur charges.
  • Final Files: Once final files are delivered and approved, refunds are not available.
  • Usage Rights: Clients receive full rights to approved designs. Unauthorized resale, transfer, or misuse voids guarantees.
  • File Retention: Astrava retains design files for 90 days after delivery. Retrieval beyond this period may incur fees.


VIRTUAL ASSISTANCE

  • Fraud or Misconduct: Astrava is not liable for fraudulent activity or misconduct outside the agreed scope. Verified fraud results in termination and replacement. Refunds are not provided; Astrava’s responsibility is corrective action only.
  • AWOL (Absent Without Official Leave): Verified AWOL cases result in termination and replacement at no cost. Refunds are not provided.


CLIENT CONDUCT

  • Clients must maintain professional, respectful, and lawful conduct.
  • Abusive behavior, harassment, threats, or disrespect toward Astrava staff results in immediate suspension or termination without refund.
  • Fraudulent activity, misrepresentation, or attempts to exploit Astrava’s services result in termination and forfeiture of all fees.
  • Clients are responsible for accurate information, clear instructions, and timely communication.
  • Astrava reserves the right to refuse service to any client whose behavior compromises safety, integrity, or reputation.
  • Astrava reserves the right to pursue legal remedies if misconduct causes damage.


CLIENT REFERRAL PROGRAM

  • Clients who successfully refer a new paying client to Astrava receive a $150 referral reward.
  • A referral is considered successful once the referred client signs an agreement and completes payment for services.
  • Rewards are processed within 30 days after the referred client’s payment clears.
  • Referral rewards are issued via the same payment method used by the referring client, unless otherwise agreed in writing.
  • Multiple referrals are allowed; each successful referral earns a separate $150 reward.
  • Fraudulent referrals, self‑referrals, or referrals involving misrepresentation are not eligible and may result in termination of referral privileges.


IMPORTANT NOTES

  • Astrava does not provide or sell leads, email contacts, or subscriber lists.
  • Technical support covers essential fixes, updates, and performance management only. Advanced development or new features require a separate agreement.
  • All services are non‑transferable and non‑assignable.
  • Astrava reserves the right to update policies at any time, with changes applying to all ongoing and future services.
  • By engaging Astrava’s services, clients acknowledge and agree to these terms without exception.
